How Cabana Brasil streamlined service with SetMenu

[With SetMenu] “You’ve just got one clear sheet with everything. Dishes, allergens, all of it.”
Grind hero

With vibrant Brazilian flavours, fire-grilled skewers and high-energy dining rooms, Cabana Brasil has three large London locations. It’s a restaurant group that’s built for high energy, special occasions so they needed a booking platform that could withstand that pressure. From work Christmas parties to pre-theatre groups and celebrations at The O2 and Covent Garden, group bookings are a key part of their trading mix.

But peak season brings complexity.

With high group volumes during Christmas and elevated guest expectations, Cabana needed a smarter way to manage preorders, reduce admin and ensure service ran smoothly across sites,  without adding pressure or complexity to already stretched teams.

SetMenu helped them do exactly that.

The Challenge: managing festive volume without losing the vibe

Christmas trading meant:
  • Large group volumes across multiple sites
  • Manual coordination of preorders: aka spreadsheet chaos
  • Dietary and allergen complexity
  • Increased admin at the busiest time of year

Cabana wanted to simplify the preorder process, reduce back-and-forth with guests and ensure service felt organised and premium, not reactive.

The Solution: bringing structure to high-energy service

Cabana implemented SetMenu ahead of peak season to centralise festive group preorders and give teams full visibility before service.

Guests selected dishes and allergens in advance, whilst reservations and kitchen teams accessed clear, consolidated booking data in one place, replacing manual spreadsheets and fragmented communication.

“SetMenu has been fantastic for us! The team loved it and having the preordering functionality is just fantastic.”

The result was more predictable prep, clearer communication and less strain on the floor during the busiest period of the year.

Enhancing the experience: turning logistics into great guest touch points

SetMenu didn’t just streamline operations, it helped Cabana elevate their presentation. A perhaps unsung hero of SetMenu is the place cards feature, a place card with a guests name and their order, simple but big impact.

The Place Cards feature was a real standout during Christmas, helping teams organise larger tables whilst adding a personalised, premium touch to each setting.

“[The Place Cards] was a really super feature for us to have over Christmas. It totally elevated the whole experience for our guests.”

And the guests have found SetMenu totally intuitive.

“We’ve had no negative feedback from a guest perspective.. It’s been a really nice addition to our operational services.”

Music to our ears! Protecting the guest experience whilst reducing internal pressure is exactly what SetMenu is all about.

Partnership in Practice: supported at every step

Rolling out new tech before peak season can feel high-risk. But the Cabana team couldn’t say enough about how effortless the process was.

“Generally really smooth. I had regular calls throughout the process and the team have been really quick to support and resolve any matter.”

That hands-on support ensured implementation reduced pressure rather than adding to it.

Looking ahead

Cabana is now exploring how SetMenu can support private events and weddings, building on the operational control achieved over Christmas.

“I’m super happy with the system and it will be a core part of our events for 2026”.
